Booking Terms, Conditions and Cancellation Policy

Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.


Bookings are subject to the following terms and conditions:

Booking

  • The person in charge of the party (“the party leader”) must be at least 18 years old at the time of booking. All other members of the party must authorise you to make the booking on the basis of these booking conditions.

  • A contract between you and us will come into existence when required payment is received and a booking confirmation is issued showing the confirmed holiday dates. We will send your confirmation to you by email, unless you tell us at the time of booking, that you would prefer it to be provided by post. It is your responsibility to check your emails regularly and to let us know about any change to your email address.

  • As soon as you receive your confirmation, you MUST check the details carefully. If anything is not correct, you should tell us immediately.

  • The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking.

  • Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

  • We have the right to refuse any booking before we send you your written confirmation. If we do this, we will tell you in writing and promptly refund any money that you have paid to us. In this case, we will not have any legal responsibility to you.

  • If we have sent a written confirmation, we have the right to cancel a booking where there are reasonable grounds to believe that it is not legitimate, you are likely to breach any of our booking conditions or information supplied by you in relation to your booking is incorrect. If we cancel your booking, we will tell you in writing and will not have any legal responsibility to you.

  • Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification will be given, as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us and no more.


Changes and Cancellations

  • If you would like to change any detail of your confirmed booking, you must notify us at least 6 weeks before the start date of your holiday. We must receive your request in writing by email. Whilst we will try to enable your request, this is not a guarantee.

  • If situation arises where you want or need to cancel your booking, you must phone us on 01485 543340 as soon as possible. Your cancellation date will commence on the day you or we receive notice by phone and confirmation is sent via email.

  • If you cancel your holiday within 6 weeks of arrival, we reserve the right to not refund you the full amount of your holiday, this includes late bookings. We strongly advise that you take out appropriate holiday insurance before booking.

  • If you cancel your booking 6 weeks or more, before your arrival and you have paid the full amount of the holiday, then we reserve the right to keep your non-refundable deposit plus a cancellation fee of £48.00. The remaining amount after these deductions have been made will be refunded to you.

  • You will not be eligible for a full refund if you cannot reach your holiday due to inclement weather conditions, including flooding or snow or as a result of being involved in any traffic instances`.

  • Cancellations or changes made by Brickley Wood Lodges are very rare. If for some reason out of our control this does need to happen we will contact you by phone as soon as is reasonably possible. We will explain what has happened and let you know about the cancellation or change; however we will have no further liability to you.

  • Cancellations due to government guidelines: If your holiday has to be cancelled due to UK government public health measures being put in place. Including a ban on travel or holiday accommodation and lockdown/restrictions relating to Coronavirus or any other health measures or pandemic including both local or National, you may choose to:

a. Transfer your booking to a later date free of any administration charges,  subject to availability – you will have to pay any difference in price if the cost of the new booking is higher or be reimbursed the difference if the cost of the new booking is lower;

b. Request a voucher with a redemption value equal to the amount previously paid by you for the booking.       

  • Events beyond our control: We are not legally responsible for any compensation if we are unable to carry out our responsibilities under this contract as a result of events beyond our control. This means an event we or the owner could not, even with all due care avoid, including but not limited to: strike, lock-out or labour dispute, natural disaster, acts of terrorism, war, riot or civil commotion, malicious damage, Government Lockdown, Pandemic, Illness or isolation or quarantine caused by Coronavirus/COVID-19 or any other virus, keeping to any law or governmental order, rule, regulation or direction including advice from the foreign office to leave or avoid a certain country, accident, breakdown of equipment or machinery, insolvency or bankruptcy of an owner, fire, flood, snow or storm, difficulty or increased cost in getting workers, goods or transport and other circumstances affecting the supply of the arrangements.

Payment

  • Upon booking, you must pay a non-refundable £125 deposit payable at the time of booking. Bookings made less than six weeks before your arrival date must be paid in full. We only accept payment in pounds sterling.

  • The balance must be paid no later than six weeks before the commencement of your holiday. If the balance is not received by the due date, then your holiday will be treated as a cancellation and the client will remain liable to pay the balance of the rent.

  • All cancellations must be notified in writing. If you cancel your holiday more than 6 weeks before it is due to start, then your deposit will be forfeit. If you cancel less than 6 weeks before the holiday, then the full balance remains due and is not refundable.

  • We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation. We would recommend considering insurance that includes loss of property or illness. We do not take responsibility for any property or personal injury that occurs whilst staying with us or for any other matters which we have no control.

Pricing

  • Pricing charged by us is under constant review and we reserve the right to increase or decrease prices of unsold periods, days or weeks at any time.

  • We will confirm the price of your booking when you make it. As changes and mistakes can happen, you must check the price and all other details of your chosen property at the time of booking.

  • All prices quoted or otherwise given to you include all charges and any taxes or government charges which may apply to your booking at the time it is made.

  • All prices are for the property as a whole and are not on a per person basis

Property Details

  • We aim to keep all information about our lodges correct on all platforms. It is intended to get a general feel for our properties. Due to the growth of our properties and continued aim for improvement, some things may change slightly from time to time. No responsibility can be accepted for these changes. Living in the countryside we take no responsibility for obstruction of views caused by the growth of shrubs, trees or hedges. Occasionally, problems mean that some facilities or services are not available or may be restricted. If this happens, we will tell you as soon as reasonably possible, after we become aware of the situation. We cannot accept responsibility for any changes or closures to local services or attractions mentioned on our website and other promotional literature.

  • Accommodation will commence from 4:00pm unless otherwise agreed and guests are required to vacate the property by 10:00am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared to covid standards for incoming guests.

  • If you intend to arrive after 6.00pm or are delayed on the check-in date of your holiday, you must contact us, on the contact number given on your booking confirmation. If you fail to do so, you may not be able to get into the property. If you fail to arrive by 12 noon on the day after the start date of your rental period and you do not let us know, we may treat your booking as having been cancelled by you. In this situation, we will not refund any money you have paid and you will be responsible for making alternative arrangements.

  • If Wi-Fi is an advertised facility, please note that we are situated in a rural area and its provision is subject to availability and network conditions. It may not be available 24 hours a day. Bookings are not accepted if they are reliant on the uninterrupted, unlimited provision of Wi-Fi. By using Our Wi-Fi you agree to the fair use of it. No guarantee will be implied or given relating to any Wi-Fi, TV, audio or any other electronic equipment which may be susceptible to breakdown from time to time.

  • If you have a complaint about the service we have offered, then they should be put into writing and received by us no later than seven days after your holiday has commenced. Whilst we aim to note all complaints we will not be liable for any problems that are beyond our control. This includes breakdown of mechanical equipment or public utilities such as water, gas and electricity.

  • We can not be held responsible for noise or disturbance caused beyond our boundary which is beyond our control.

  • Parties or events are not allowed within our property.

  • Only those listed on the booking form can occupy the property. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition. In this situation we will not hold any responsibility in finding alternative accommodation for you.

  • Pets, vaping or smoking anywhere inside the premises will result in immediate termination of your stay and all payments will be forfeit. The outdoor space is also non smoking and we ask that you respect this.

  • Behaviour: You and all members of your party agree:

  • As the lead person you are fully responsible for keeping the property clean and tidy and to leave the property in a similar condition as you found it upon arrival. Anti-social behaviour will not be tolerated on our property and we ask that you consider others whilst holidaying with us.

  • We reserve the right to enter the property at any time to conduct essential maintenance or for inspection purposes.

  • Damages and breakages – please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage.

  • House notes

a. Please do not move any furniture from one room to another.

b. Please remove shoes before entering the house.

c. Please lock the doors and close the windows when you leave the property unoccupied.

d. Please make sure you switch off lights, heating, air conditioning or any electrical appliances when you go out – we’re an eco-friendly holiday home.

e. Please don’t take any bath towels with you to the beach. Use the beach towels (if provided).

f. The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

g. Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

h. All inventory must remain in the property and not be taken to another property.

i.Please park your vehicles in the designated parking space, ensuring cars do not block access to other properties.

j. Please respect the community and try to keep noise levels to a minimum, especially between 11 pm and 8 am.

k. Barbecue – please use the designated barbecue utensils and clean the barbecue after use.

l. Candles are not allowed on the property.

m. We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.

n. There is a strict 5mph speed limit on all parts of the property. Please respect this at all times during your stay.
